Privacy Policy

Neet Mail (the add-on) is a Google Workspace add-on that enables users to send personalized emails from Google Docs using contact data stored in Google Sheets. This Privacy Policy describes how Neet Mail accesses, uses, stores, and protects your data.

1. Information We Access

Neet Mail requests the following Google OAuth scopes to function. Each scope is used for a specific, limited purpose:

Google Sheets (spreadsheets.currentonly)

Used to read contact data (names, email addresses, addresses, tags) from the active spreadsheet you designate as your contact database. Also used to write activity logs (send timestamps, campaign names) to the _Activity sheet within your contact spreadsheet.

Google Docs (documents.currentonly)

Used to read the content of the currently open Google Doc to use as your email template. The add-on converts the document content to HTML for email formatting.

Google Drive (drive.file)

Used to access files that you explicitly select through the Google Picker (contact spreadsheets and email template documents). This scope only grants access to files you choose – not your entire Drive.

Gmail (gmail.send, gmail.settings.basic)

Used to send emails on your behalf through your Gmail account. The gmail.settings.basic scope is used solely to retrieve your Gmail signature when you enable the Include Signature option.

Script UI (script.container.ui)

Used to display sidebars and dialogs within Google Docs and Google Sheets.

2. How We Use Your Data

Your data is used exclusively to provide the core functionality of the add-on:

– Reading contact information from your designated Google Sheet to populate email recipient lists.
– Reading your Google Doc content to generate personalized email bodies with merge tag replacement.
– Sending emails through your Gmail account to the contacts you select.
– Logging email activity (timestamps, recipient emails, campaign names, event types) to the _Activity sheet in your contact spreadsheet.
– Caching contact list metadata in Google Apps Script User Properties to enable cross-app functionality between Sheets and Docs.
– Retrieving your Gmail signature when you explicitly enable signature inclusion.

3. Data Storage

Neet Mail does not transmit your data to any external servers. All data processing occurs within the Google Apps Script runtime environment provided by Google.

– Contact data remains in your Google Sheet at all times. Neet Mail reads it at the time of sending and does not copy it elsewhere.
– Email templates remain in your Google Docs. Content is read at the time of sending and converted to HTML in-memory.
– User preferences (selected contact sheet ID, unsubscribe settings, sender name preferences) are stored in Google Apps Script UserProperties service, which is scoped to your Google account and the script. This data is not accessible to other users or applications.
– Activity logs are stored in the _Activity sheet within your own contact spreadsheet.

4. Data Sharing

We do not sell, rent, share, or transfer your data to any third parties. Your data is never sent to external analytics services, advertising platforms, or any server outside of Google infrastructure.

5. Data Retention

Since Neet Mail does not store your data on external servers, data retention is entirely under your control:

– Contact data persists in your Google Sheet until you delete it.
– Activity logs persist in your _Activity sheet until you delete them.
– User preferences stored in Apps Script UserProperties persist until you uninstall the add-on or clear them manually.

6. Security

Neet Mail operates entirely within Google secure infrastructure. We rely on Google authentication and authorization systems (OAuth 2.0) to ensure that only you can access your data through the add-on. We do not handle, store, or process OAuth tokens outside of the standard Google Apps Script runtime.

7. Google API Services User Data Policy

Neet Mail use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

8. Children Privacy

Neet Mail is not directed at children under the age of 13. We do not knowingly collect personal information from children. The add-on is intended for use by adults in a business or professional context within Google Workspace.

9. Your Rights and Choices

Access: All data the add-on works with is stored in your own Google Sheets and Docs – you have full access at any time.

Deletion: You can delete any data from your spreadsheets and documents, or uninstall the add-on to remove all stored preferences.

Revoke access: You can revoke the add-on permissions at any time through your Google Account permissions page.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be reflected by updating the Last Updated date at the top of this page. Continued use of the add-on after changes constitutes acceptance of the revised policy.
